When you contact us with a wedding, event or general enquiry, we use the contact details you provide to reply and discuss your requirements. Our lawful basis is legitimate interests: you have initiated contact and expect a response.

Managing your booking

Once a booking is confirmed, we use your personal data to administer the contract between us, including coordinating your event, communicating logistics and processing payment. Our lawful basis is contract performance.

Sending marketing communications

We will only contact you with information about our events, offers and news if you have given your consent to receive such communications, for example by signing up to our mailing list. Improving our website and services

We use anonymised analytics data to understand how visitors use our website so we can improve it. Our lawful basis is legitimate interests. This data does not identify you personally.

Sheene Mill OS

Our online booking, availability and CRM platform (sheene-mill-os.fly.dev) processes reservation and guest data on our behalf. Data is held securely and used only to administer your booking.

Analytics

Website Analytics

We use an analytics service to measure website performance. Data is anonymised where possible and used only for site improvement.

Payments

Payment Processor

Card payments are handled by a PCI-DSS compliant payment processor. We do not receive or store your full card details.

Email

Email Marketing

If you sign up to our newsletter, we store your email address with Brevo, our email marketing platform, and use it only to send newsletters and event news. Every email carries an unsubscribe link, and you can unsubscribe at any time.

We may also disclose your personal data where we are required to do so by law or in response to a request from a law enforcement or regulatory authority.

Retention Periods

We keep your personal data only for as long as is necessary for the purpose for which it was collected, or as required by law. As a general guide:

Enquiry data from contacts that do not result in a booking is held for up to 12 months. Booking and contract records are retained for a minimum of 6 years to meet our legal and financial obligations. Marketing preferences and consent records are held until you withdraw consent. Website analytics data is retained in anonymised form.

Your Data Subject Rights

Right of access
